Job Details

This position provides highly complex and responsible coordination / administrative support for the Deputy Director of the Cancer Center of MD Anderson Cancer, and facilitates their interaction with individuals inside and outside the institution. The Program Manager impacts the overall efficiency and productivity of the leader and their group, and helps to create opportunities to enhance the mission and vision of research at MD Anderson Cancer Center.

The Program Manager will be responsible for the successful oversight of program operations and finances, establishment of guidelines and procedures for internal and collaborative projects, and program reporting. Additionally, the Program Manager will coordinate meetings, maintain timelines for project related functions, and ensure the right resources are in place to for program growth and sustainability. The Program Manager will work the leadership team on prospective collaborative projects and funding sources as well as in other program activities. This position requires strong independent judgment and problem solving skills; strong interpersonal, communication and organizational skills; concurrent management of multiple projects; and ability to prioritize functions.

**The ideal candidate will have experience with managing research projects, grant management, scientific knowledge is a plus**

Key Functions

Program Management (operations, finance and personnel)
  • Manages the day-to-day operations and workflow of program specific activities under the research leader while acting as a liaison to faculty, program sections, and outside agencies and institutions in facilitating program objectives.
  • Manage the finances for the leader's research program and its participation in collaborative projects.
  • Provides and assembles the data for progress reports and provide updates as necessary on program and research related activities.
  • Organizes recurring meetings accordingly.
  • Collaborates with other stakeholders to ensure projects are moving forward in a timely fashion.
  • Provides documentation and routine reporting to leaders, related to monitoring research milestones and initiatives.
  • Oversees the planning and participation of large-scale events at the institution, including authorizations, logistics, and participant communications.
  • Manages the program website for updated content on program, faculty and publications; monitors and updates the program's social media accounts, and work with MDA media teams to handle media requests.
  • Assists with the deadlines and successful completion of executed documents for grants, patents, publications, COIs, MTAs to track and ensure institutional and governmental compliance; experience with legal terminology and deadlines is helpful.
  • Intermediate knowledge of Microsoft office, including PowerPoint, Visio software and institutional programs including Click Grants, and PeopleSoft.
  • Works with department and collaborating labs on shared goals and additional projects.
  • Assures that institutional policies and procedures are followed.
  • Coordinates, tracks, and maintains reports of the program's activities (inquiries, visits, service requests, expenditures, and revenue). Creates and implements best practices to ensure an optimized level of productivity and efficiency for the program.
  • Coordinates outreach activities of the program, including maintaining contact databases and distribution lists, receiving and completing requests for educational materials and speakers, and assisting with updates to informational materials
  • Coordinates and oversees outside visitors including speakers, VIPs, and other guests. This includes travel and transportation arrangements and room and itinerary scheduling.
  • Prepares graphics, charts and tables, designs and assembles material for presentations; initiates and compiles reports; designs event invitations, agendas, presentations, and other support materials.
  • Takes, prepares, and distributes meeting minutes for leaders and team meetings.
  • Maintains master calendar for faculty and team leaders. Performs accurate and timely calendar management.
  • Maintains database of attendance and participation in meetings.
  • Composes correspondence: informal (notes, memos, and notices); formal (letters and official correspondence).
  • Develops and maintains information tracking tools; designs and implements document and information retrieval systems.
  • Proofreads correspondence, reports, and presentations of a medical and scientific nature; edits for correctness, ease of understanding and proper formatting, including checking for correct APA format.
  • Handles all travel requests for faculty and other team members, as well as professional membership fee payments and registrations. Completes and submits reimbursement paperwork within the 45-day deadline.
  • Obtains required signatures and forwards to appropriate recipients as necessary.
  • Gathers materials for use in preparation of presentations, or publications.
  • Follows up on action items.

Budget and Personnel
  • Ensures appropriate use of funds using knowledge of institutional guidelines to ensure funds balances and compliance.
  • Manages expense report tracking and reconciliation on financial accounts, and initiate cost fund transfers.
  • Performs duties within the scope of established procedures, practices, and policies; interpret procedures, practices and policies; may have accountability for a functional area or program. Regular use of independent judgment and decision-making required.
  • Assists with screening, interviewing, and advising on potential candidates for hire.
  • Assists with purchasing including procurement and inventory of office supplies, capital and non-capital equipment, and lab related purchases.
  • Reconciles expenditures and with program funds and purchases made using a Procurement Card (MasterCard) in accordance with institutional guidelines.
  • Maintains accurate accounting of grants, monthly account status reports, reconciliation and reporting on sponsored programs and grant accounts. Assist in submitting new grants and ability to work in Click Grants and interact with the department's grants and financial teams on inquiries. Ensure Grant reports are timely submitted.
  • Ensures adequate furniture, equipment, key requests, and signage needs for program offices and conference rooms are completed.
  • Interfaces with the information systems support group to resolve computer hardware, software, and inventory problems.
  • Performs other duties as assigned.


EDUCATION:
Required: Bachelor's degree

Preferred: Master's degree

EXPERIENCE:
Required: Five years related experience to include three years program management experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, three years of required experience.

Preferred: Ability to manage complex research projects, grant experience, scientific knowledge. The ability to use good interpersonal, customer service, and problem-solving skills, work independently. Proficiency in the following software applications is preferred: Microsoft Office including Microsoft Project and Visio. Supervisory experience is a plus.
