Job Details

The primary purpose of the Program Coordinator position is to provide administrative support for the departmental pre and post award activities, reporting and analysis of financial management data, and coordination and facilitation of clinical research program. Requires the ability to establish priorities, manage multiple tasks and complete work assignments accurately and on time.

JOB SPECIFIC COMPETENCIESPre and Post Award Administrative Support:

* Assists with project submission proposals for submission to the Office of Research Administration or Office of Sponsored Programs
* Creates, coordinates, and reviews application with Grant Program Manager prior to submission to ensure quality and regulatory compliance
* Mentors and develops others in the grant program process
* Assists Grant Program Manager to ensure accuracy and compliance of all grants with sponsor regulations and institutional policy
* Meets with Principal Investigators and Grant Program Manager to proactively review and evaluate grant research plan
* Responsible for preparing all grant-related reports and completion of all requests for information to the respective agencies
* Proactively works with Grants and Contracts to prepare, coordinate, and submit invoices for grant funding.
* Attends Grants Administrative Meetings, as well as other research related meetings

Financial Management Support:

* Assists with overall operations of the department's financial processes.
* Performs monthly 100% reconciliation for all department accounts, including expenditures, salary and fringe.
* Maintains department FACT table by performing quarterly reviews and confirming FACT attributes for new account requests
* Monitors and advises on the reallocation of funds and transfer of expenses as appropriate
* Creates and maintains a filing system for personnel action JDUFs.
* Reviews expenditures and account balances for specified department chart field strings
* Reviews expense reimbursement reports prior to submission

Coordination of Protocols and Clinical Research Program:

* Provides administrative services for the coordination of clinical trials
* Effectively conducts assigned operations related to the management of research protocols.
* Creates, coordinates and maintains a processing and tracking system for clinical studies and related paperwork
* Communicates verbally and in writing, as needed or as requested by the principal investigator of the study, with internal reviewers or external agencies
* Coordinates regulatory correspondence on clinical research studies.
* Reviews protocol documents including abstracts, text and informed consent for relevant information.
* Assists in modifying consents and submits to IRB.
* Assists in the collection and evaluation of data
* Assists Principal Investigator in submitting required documents to the Institutional Review Board and the Office of Research for continuing reviews and amendments to the protocol as needed.
* Responsible for creating, maintaining, and gathering of all project related regulatory documents, including Informed Consent Forms, protocol-related training certificates of all personnel, protocol approval letters, continuation review approval documents, sponsor issued documents, and email correspondence with other study sites, institutional IRB, FDA, and the study sponsor.

* Develop and determine priorities and monitor status of special projects
* Other duties as assigned.

EDUCATION:
Required: Bachelor's degree.

Preferred: Master's degree.

EXPERIENCE:
Required: Three years of extensive administrative experience. May substitute required education degree with additional years of equivalent experience on a one to one year basis. With preferred degree, one year of experience required.

Preferred: Grant experience.
