Position Summary

Working independently with minimal supervision, performs diversified, advanced and confidential secretarial & administrative work in support of a department/division chair, vice president or executive officer. Relieves supervisor of routine administrative detail. Uses discretionary initiative & judgment when screening visitors & telephone calls, scheduling appointments & organizing workload to meet established priorities. Requires thorough knowledge of organizational unit policies, personnel and services.

Key Responsibilities include:
  • Organizes & expedites flow of work through administrator's office; initiating follow up action as appropriate.
  • Answers telephones, screens & routes visitors and callers.
  • Resolves routine and some complex inquiries and fulfills requests from internal & external business contacts using knowledge of division/department & organization policies & procedures.
  • Formats, types & edits a variety of complex or technical material, including correspondence, memos, reports, presentations and confidential material.
  • Takes and transcribes dictation of a complex & confidential nature.
  • Composes letters and memos for administrator's signature.
  • Routes & answers routine correspondence not requiring administrator's attention.
  • Schedules appointments & meetings; coordinates meetings & agenda materials. Makes arrangements for meetings/conferences/travel for department personnel.
  • Prepares & distributes minutes of meetings.
  • Opens, reads & prioritizes incoming mail. Handles minor requests and assignments requiring knowledge of organizational unit policies & procedures.
  • Establishes, maintains & has frequent access to confidential files, logs & records.
  • Assists in planning & organizing special projects.


Basic education, experience and skills required for consideration:
  • Two years Post High School Trade, Business or Professional School
  • Experience may substitute for minimum education requirements.
  • Five years senior level secretarial experience with prior experience in Administration.

The estimated pay scale represents the typical [salary/hourly] range City of Hope reasonably expects to pay for this position, with offers determined based on several factors which may include, but not be limited to, the candidate's experience, expertise, skills, education, job scope, training, internal equity, geography/market, etc. This pay scale is subject to change from time to time.
