Purpose of role

The Global Congressing Team Head is a new centralised role within Medical Affairs Excellence (MAE). This role is accountable for ensuring successful delivery of an enterprise ‘One GSK' disease-focused approach to congressing, as well as seamless execution across priority congresses for Global Medical Affairs.

The creation of a global scientific congressing team evolves GSK's thinking from a single asset to a disease-based approach, helping to drive consistency at priority congresses. GSK's congressing team model will be staffed by personnel who are experienced in medical affairs as well as direct to healthcare provider (HCP) event management and execution. Having a congressing team where congress roles sit within a community ensures enterprise-wide consistent delivery and will provide opportunities to drive best practice ways of working.

Key Responsibilities

Global Congressing Strategy
  • Works in close partnership with the Medical TAs , commercial, regions, US and other key LOCs to develop, maintain and deliver a One GSK strategic approach to global congressing
  • Delivers optimal congress focused external engagement for TAs based on a thorough understanding of disease and brand strategies, existing scientific content, and communication initiatives
  • Bring back key insights for each congress to continually shape GSKs congress ambition, building on learning and opportunities to strengthen future events.

Congress Delivery
  • Developing One GSK aligned congress strategy and execution plan (showing up as One GSK) based on brand strategy, (including connected delegate journey, share of presence and customer experience) for priority TA congresses - both on site and virtual
  • Works in close partnership with the Medical TAs and commercial to deliver all elements of the booth including:
    • Implementation of the design ( layout, look and content pull through )
    • GMAT approval
    • Delivery and on-site management (staffing, training - compliance, ‘do's and don'ts')
    • Working in partnership with commercial and LOC (if applicable) to execute GSK sponsored online booth (e.g. page design and content)
  • Ensuring optimal external engagement for TAs (from a logistical standpoint):
    • Lead all LOC and regional congress briefing calls (pre, peri and post congress
    • Organises internal stakeholder briefings etc (pre, peri, post)
    • Responsible for logistics and leadership of vendors (housing, meeting rooms, administrative booth management, EE meetings requirements, Transfers of value etc)
    • Strategic execution and management of social media to amplify One GSK presence
    • Acts as bridge between GSK and congress organisers (Symposia & Booth sponsorship including ID'ing, negotiating GSK space and advertising)
  • Responsible for budget management; booth and above-asset medical sponsorship requirements and associated contracting
  • Directs medical agencies and logistics vendors including budget tracking in collaboration with project managers
  • Works with other members of the congress team to ensure fully comprehensive congress plans executed on time to budget
  • Partners with GMAT and drives accountability of the congress execution representing updates at GMATs and other key matrix meetings
  • Leads on the global congressing working group within a TA - the cross-matrix team accountable for congress delivery


Global Congressing Strategy
  • Ensures strategic partnership with the TAs, Commercial, Med Digital & Tech, R&D, global product comms, regions, US and other key LOCs to develop, maintain and deliver a One GSK strategic approach to global congressing for our priority disease areas supporting our asset strategies and ambitions
  • Accountable for ensuring optimal congress-focused external engagement for TAs based on a thorough understanding of disease and asset strategies, existing scientific content, and communication initiatives
  • Accountable for ensuring the successful execution of our asset strategies and ambitions including importance of consistency of approach through this channel
  • Manages resources and headcount to deliver on enterprise objectives and global medical strategic scientific objectives across the portfolios including accountability for long-term investment in enterprise congress funding


Congress Delivery
  • Accountable for delivering One GSK aligned congress strategies and execution plans (showing up as One GSK) based on brand strategy (including connected delegate journey, share of presence and customer experience) across all priority TA congresses
  • Accountable for the line management of global congressing team managers
  • Ensures critical stakeholders at global, regional and LOC (Local Operating Companies) levels understand and pull through the importance of co-creation and ownership of congress plans at all levels
  • Works closely with the US teams leading USA based congresses to ensure full alignment and consistency of global strategy and pull through execution
  • Work in partnership with TAs to ensure that the global congressing team delivers TA external engagement strategies and plans to maximise Scientific share of Voice (sSOV)
  • Overall accountable for global medical presence at priority congresses across multiple assets
  • Accountable for the communication of all global congressing execution to key stakeholders across the business and as required by the TA
  • Ensures senior stakeholder awareness and support for strategic congress execution plan
  • Oversees the appropriate tracking of all team budget spend, and recommends long-term investment opportunities based on 3-5-year congress strategies to key stakeholders (global medical and commercial)
  • Accountable to ensure appropriate levels of program management are maintained across the team to deliver on priority congress execution on behalf of the TAs
  • Establishes and tracks KPIs to ensure this newly formed team is delivering on the agreed vision and ambition
  • Ensure excellence in congress delivery via on-site congress presence/oversight


Basic Qualifications and experience
  • Bachelors degree in science, medicine or pharmacy
  • Minimum of 5 years Congress planning experience within the pharmaceutical industry

Preferred Qualifications & Experience
  • MD, PhD, or PharmD
  • ABPI signatory as PharmD / registered pharmacist
  • Successful track record of global congressing delivery in global medical affairs
  • Significant experience in operations, and/or events management
  • Local, Regional or Global experience medical affairs or R&D experience
  • Familiarity with existing GSK platforms (e.g. Veeva Promomats, MedComms, Team Site, Workday, MS Teams and GSK intranet)
  • Knowledge of GSK Code & ABPI and its application
  • Solid understanding of Copy Approval requirements and management of risk
  • Track record of working and leadership of successful cross functional teams
  • Strong interpersonal skills, working effectively under pressure and managing across the enterprise at all levels
  • Analytical, logical thought process with proven track record of strong matrix management, facilitation, and project management skills
  • Effective time management, ability to clearly identify priorities and manage multiple tasks
