SUMMARY:

Grant Management (45%)

Responsible for the management of the day-to-day grant operations. Works with the Department Chair to develop departmental grant submission strategies. Responsible for the oversight and management of departmental grant applications and submissions to include facilitating the planning and collaboration for the department internally and externally.

Coordinates human resources planning and activities for non-faculty personnel, which may include Grant Program Coordinators and administrative support staff.

Provides support to all faculty and staff with regard to grant submissions and translational research efforts; advises faculty on federal guidelines related to the response of specific Program Announcements and Requests for Applications. Serves as a resource for faculty and staff related to electronic research applications and issues related to these applications, as well as, changes in the application submission process. Ensures compliance with all general, governmental, and NCI regulations and requirements.

Establishes collaborative relationships with institutional, departmental and extramural faculty and staff to assure advancement of organizational and departmental goals, programs and projects.

Develops, reviews and manages budgets for large-scale grants; assist faculty with development of budgets to include drafting budget justifications, forecasting and reconciliation of grant accounts. Oversees funds and fund allocation across multiple projects.

Develops novel strategies to support grant research needs, as necessary.

Develops an operating plan for grant submissions and monitors progress throughout the year. Ensures that strategic and tactical plans for ongoing research and grant activities are developed and executed effectively and efficiently

Develops, implements and manages effective administrative policies and procedures to ensure operational and quality outcomes for grant funded activities.

Assist in with the preparation of grant forms. Maintain familiarity with NIH forms and requirements. Provide ongoing information concerning changes in federal policy, institutional and divisional initiatives, etc., to relevant department staff and grant investigators.

Reviews and reconciles designated large-scale, multi-project grants and research program grants on a monthly basis, to verify accuracy, resolve errors, and ensure adherence with institution, state, local, and federal regulations.

Collaborates with Senior Financial Analyst on effort reporting to ensure compliance with federal and institutional guidelines and polices.

Completes special projects and reports

Mentors and develops others in the grant program process.

Research Laboratories Oversight (35%):

Provides administrative oversight of the daily operations of the research laboratories of the Department.

Assists with the management of physical and financial resources dedicated to grant funded activity, including space planning, inventory control and property maintenance.

Provides management of staff, projects, budgets, and activities in support of the research laboratories in the Department

Assists the Department Administrator, Associate Department Administrator, and Operations Manager in preparing annual reports and other special projects

Assists with the maintenance of departmental share drives to ensure that the information is up-to-date and accurate

Interacts with the Information Systems support team to resolve computer hardware and software problems

Composes complex correspondence, often of a confidential nature, from basic information and routes appropriately

Assists in development and maintenance of the research laboratories processes and manuals

Assists with the development of new positions, recruitment, new faculty and staff onboarding, and required training for the research laboratories in the Department

Assists with developing position descriptions and the evaluation process for classified personnel supported through grant funds.

Coordinates human resources planning and activities for non-faculty grant-funded personnel.

Interprets and educates faculty, trainees, and classified staff on institutional, divisional, and departmental policies.

Coordinators yearly performance evaluations for classified personnel.

Identifies and coordinates classified personnel development training. Ensures appropriate support is provided to the research laboratory faculty. Provides assistance with trainee and educational programs

Assists with research lab administrative activities and ensures procurement adheres to budgetary constraints.

Identifies and implements opportunities for cost reduction and expense control, review office supply purchase requests.

Oversees time and attendance of classified personnel for the research laboratories.

Assists with weekly Kronos reporting.

Policy and Procedure Management (15%):

Coordinates to develop and manage effective administrative policies and procedures associated with basic science and translational research operations.

Designs and maintains management reports on the operations for research activities

Assists with maintenance and development of Zayed laboratory equipment data base

Special Projects as assigned (5%)

Assists the Department with special projects.

EDUCATION: Bachelor's degree in Business Administration or related field.

EXPERIENCE: Six years of administrative experience in a research or academic setting to include four years of grant management and two years of supervisory/management experience in a research, health care or related environment.

Successful completion of the LEADing Self Accelerate program may substitute for one year of required supervisory or management experience.
