This role will work closely with the United States (US) monitoring and site engagement (GMASE)

enablement team on administration and management of business operations to ensure the department

continuity. This individual is responsible for assisting management staff with personnel tracking and

support, business operations, and study assistance as needed.

Key Responsibilities:
  • Develop and organize departmental files and tracking systems to ensure information is accessible to appropriate staff
  • Accountable for acquiring/maintaining an optimal level of knowledge of GSK tools and systems to effectively manage them. May act as local system expert to provide support to US Local Operating Company (LOC) where needed
  • Research, collate and compile data from multiple sources and performs a variety of moderately complex calculations to generate reports
  • Manage the financial operational aspects of vendor agreements, setting up purchase orders, reconciling invoices, issuing and tracking payments, providing monthly accruals to finance and query resolution
  • Maintain effective communication and working relationships with country colleagues, vendor/site staff and other GSK staff
  • Assist new employees in gaining access to relevant systems including Effort Tracking, MyLearning, and other departmental systems as applicable
  • Assist with planning, logistics and preparation of department meetings (travel arrangements; and assist with preparation and distribution of related presentation material etc)
  • Support US LOC for all catalog purchases, Purchase Orders, and invoice payments
  • Manage US LOC departmental directory, team sites, security groups and distribution lists
  • Serve as GSK liaison for questions regarding personnel office supplies, AMEX, and UPS accounts
  • Manage departmental American Express Meeting Cards for meetings, business travel, and procurement card for supplies
  • Follow-up on items delegated by enablement team managers. Respond to routine departmental inquires and directs questions to appropriate personnel
  • Responsible as US GMASE Records Champion to inform department of their responsibilities in following the records retention policy
  • May manage departmental study related training records as departmental MyLearning training coordinator
  • May assist with clinical and ancillary supplies vendor(s), preparing and reviewing importation documentation, and logistics
  • May assist with study support including generation of metric reports, managing study documents, and assisting with site communications

We are looking for professionals with these required skills to achieve our goals:
  • Experience in full range of administrative skills with at least 5 years' experience in the pharmaceutical industry
  • Experience in editing, creating, formatting documents in Microsoft applications.
  • Experience managing confidential information.
  • Experience processing invoicing and payments.
  • Experience with clinical study conduct processes


Preferred Qualifications:

If you have the following characteristics, it would be a plus:
  • Experience in pharmaceutical industry and working knowledge of research and development
  • High level of interpersonal skills and ability and willingness to support and proactively assist other departmental managers, administrators and members
  • Experience planning large departmental meetings, including travel coordination
  • Demonstrated ability to multitask and prioritize work based on own judgment
  • Has good written and verbal communication skills
  • Self-motivated with ability to work, solve problems and make decisions unsupervised
  • Good collaboration and organizational skills with ability to interact well with all levels of management and staff
