Position Summary

Responsible for the intake, inventory and release processes for all clinical trial supply related materials. Assists Biospecimen Coordinators in supplying specimen collection supplies for various clinical research studies. Responsible to research operations for the appropriate, timely and efficient distribution and/or redistribution of materials to the various hospital departments where specimens are collected. Acts as point of contact in locating available supplies necessary for kit assembly, distribution and receipt.

Additionally, shares responsibility for the timely coordination of biospecimen collection, transporting and shipping of biospecimens obtained from subjects enrolled in complex research protocols. Maintains records associated with the collection and shipment of biospecimens and packages shipments as required by protocol. Monitors clinic and other schedules to ensure subjects are scheduled for protocol required visits and/or procedures.

Key Responsibilities include:
  • Inspects incoming orders on the to verify type, quantity, and condition against orders.
  • Attaches documentation to packages for shipment of materials, parts, finished goods and related items. Collects delivery tickets, shipping records, bills of lading and other documentation for receiving files.
  • Collects documentation concerned with storage and distribution of material including receipts, stock issue requisition copies and signed delivery tickets.;
  • Interfaces with the various research areas in appropriate distribution of necessary supplies needed in specimen collection.
  • Assures timely distribution of supplies/kits needed to collect research specimens
  • Maintains adequate supplies for active research studies, ensuring viability is current
  • Assures accurate completion of delivery documentation and files appropriately with research documents
  • Maintains inventory of specimen supplies and kits, ensuring they are not expired
  • Ensures inventory is stored in an organized and orderly fashion after matching to appropriate research protocol
  • Assists with reordering of supplies as needed in collaboration with Associate Clinical Research Coordinator.


Basic education, experience and skills required for consideration:
  • Bachelor's degree.
  • Experience may substitute for minimum education requirements. (Associate Degree plus minimum of 2 years of experience).
  • One year experience in receiving, warehousing or material handling (preferred), health care environment desirable.

Required Certification/Licensure:
  • IATA certification (may be obtained after hire).

Preferred education experience and skills:
  • Bachelor's degree, preferably in biomedical or biological sciences.
  • Knowledge of medical terminology.
  • Exposure to clinical trials or related health field.

Skills/Abilities:
  • Excellent oral/written communication and organizational skills.
  • Excellent reading comprehension.
  • Good people skills and ability to work with different professionals within and outside the department and COH
  • Ability to work independently with minimum supervision

Additional Information:
