Summary

The Research Administration Associate is responsible for the pre-award and post-award financial management activities of clinical trials and grants within the Research Resources Office (RRO), including cost assessment, budget development, Medicare Coverage Analysis, Clinical Trials Management System (CTMS) financial set up, budget planning, resource allocation, and preparation of quarterly reports. Additional responsibilities may include clinical trial payments, invoicing and reconciliations.

Job Duties

  • Manages complex contract and sub award portfolios for the RRO.
  • Works with investigators to perform cost analysis for industry sponsored clinical trials and investigator-initiated studies, through detailed review of the protocol/study design and related documents.
  • Works with faculty to develop budgets, which include all appropriate expenses for clinical trial contract submissions as per the cost analysis.
  • Reviews and negotiates research budgets and agreements with industry.
  • Reconcilies and monitors clinical trial expenditures and payments.
  • Reviews research expenditures to ensure accuracy and appropriateness prior to billing sponsor.
  • Prepares monthly reports using SAP accounting software, BRAIN, CTMS and/or contract tracking data.
  • Maintains budget section in clinical trial management system.
  • Tracks all revenue and expenditures related to studies in CTMS.
  • Interacts with outside affiliates to obtain pricing related to research costs.
  • Invoices industry sponsors in a timely manner to ensure payment.
  • Prepares budgets for pre-award applications to sponsors and ensures accurate routing through the College's electronic Biomedical Research and Assurance Information Network (BRAIN).
  • Analyzes and manages clinical trial budgeting, billing and revenue processes.
  • Assists with creation and reconciliation of internal/external billing policy ensuring compliance with applicable federal regulations.
  • Develops and maintains SOPs and procedural guides.
  • Maintains data of all active, pending, and closed RRO clinical trials.
  • Serves as an information resource related to grants and contracts for faculty, fellows, and staff.


Minimum Qualifications

  • Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Two years of relevant experience.


Preferred Qualifications

  • Experience in the financial planning of clinical trials strongly preferred.
  • Practical knowledge and demonstrated competence within job area, typically obtained through advanced education combined with limited experience.
  • Basic understanding of accounting principles and post-award management of a clinical trial study.
