The Office of Surgical Research within the Michael E. DeBakey Department of Surgery is seeking a Grants & Contracts Associate/Research Administration Associate to deliver administrative support for pre-award and post-award sponsored funding processes to a program exceeding $10M in external funding. Advanced proficiency with research funding policies, submission systems, various databases and Microsoft Excel is strongly preferred. Under the direction of the Senior Manager, Research Administration, the candidate plans and executes pre-award and/or post-award activities and programs including, but not limited to, grants and contracts submission, renewal and closeout, process improvement, compliance, and/or financial reporting and tracking for 11 divisions-based research programs of the Michael E. DeBakey Department of Surgery.

Job Duties

  • Prepares, submits and follows up on grant applications and on set-up of grant and subcontract initial application, renewals and no-cost extensions, by certifying summary data in the College's electronic Biomedical Research and Assurance Information Network (BRAIN) on behalf of the department.
  • Contributes to the development and review of budgets and budget justifications.
  • Provides guidance to investigators for proposal development and submission by interpreting granting agency guidelines and instructions.
  • Submits grant packages to external funding agencies (NIH, DoD, CPRIT, etc).
  • Monitors departmental grant submission activity for both fiscal performance and compliance with applicable policies (IPAs and MOUs).
  • Works closely with faculty members in managing their financial awards and provides related budgetary and financial reports.
  • Manages salary allocation for department personnel and cost transfer requests.
  • Assists faculty to process their research grant progress and financial reports due to sponsors (closeout of sponsored awards).
  • Prepares journal entries when necessary to properly reflect grant activities.
  • Prepares reports using BRAIN and/or contract tracking data.
  • Prepares outgoing subcontracts and reviews incoming subcontracts.
  • Develops and maintains relationships with PIs, and central offices and sponsor's representatives for all grants and contracts activities.
  • Contributes to the development and continuous improvement of the pre-award and post award grants management process. Reviews and analyze current processes, faculty-staff communication, and quality of submission and management of awards. Makes recommendations for process revisions and implement changes as appropriate.
  • Contributes to quarterly/biannual/annual metrics reports.
  • Ensures compliance with all guidelines.

Minimum Qualifications

  • Bachelor's degree. Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Two years of relevant experience.
