SUMMARY

The primary purpose of the Grant Program Coordinator position is to provide budgetary, administrative and organizational support to the Department of Cancer Systems Imaging during the pre- and post-ward grants, contracts and agreement process. The incumbent will work with the faculty and trainees to coordinate large grant initiatives for the department, multi-project, external and internal grants.

JOB SPECIFIC COMPETENCIES

Grant Coordination: Completion and Processing Participates in the preparation, submission, review, approval, contract negotiation, activation, regulation, tracking and report of and submission of grant applications and annual reports, according to departmental, institutional and external requirements, in both internal Click and RCTS submission systems, as well as external submission systems.
Assists the Department faculty and trainees with budgeting for grant proposals, contractual agreements, re-budgeting from other institutions and/or existing grants and contracts. Establishes timely submission parameters to ensure prompt submission of necessary materials from collaborators. Requests updates on appropriate and relevant material for submission. Proofreads, copies and edits, if necessary, materials being prepared for submission. Responsible for the preparation of grant forms. Oversees preparation of biographical sketches and other support documents for key personnel. Monitors them for accuracy of format and financial support. Runs routine reports from Click for all faculty to ensure collaboration inclusion for grant tracking and documents. Liaison between assigned faculty, collaborators, Associate Director and Research Administration. Follows up on post award sponsored project issues as designated by the Associate Director. Maintains familiarity with NIH, DOD, NSF and other federal agencies' forms and requirements.

Administrative Finance Coordination of Grants and Sponsored Contracts Supports administrative planning for grant initiatives, including complex multi-project grants and cores. Reviews expenses against grants for accuracy, resolve errors and ensure adherence with institution, state, local and federal regulations. Works with the Sr. Procurement Coordinator and the Financial Analyst to ensure that grant funds are being expensed accurately and according to institutional and/or agency regulations. Reconcile assigned grant accounts monthly.

Training Grant Support Provides support to the trainees and other students within the Department of Cancer Systems Imaging programmatic effort. Track and follow students' training progress and maintain a database. Assist with ongoing treainee submissions.

Departmental Support Maintains other support documents and Biosketches for CSI faculty and up-to-date resources to assist in grant submissions and progress reports.
Maintains faculty grant portfolio section of institutional FIS system and provides updates on all submissions.
Maintains departmental Facilities & Resources documents.
Maintains departmental collaborative contacts list.
Acts as the liaison and departmental representative for large multi-disciplinary projects. Represents the department at professional meetings such as Grants Administration meetings as well as other research-related meetings within the institution and externally.
Assists in maintaining tracking for departmental research programs to manage research information activities for the Department of Cancer Systems Imaging.
Maintains copies of grants and confirms that all copies of assigned grants are logged correctly in the departmental grants files.
Provides assistance during events sponsored by the department or division as needed.
Provide data and assist with ad hoc reports as needed.
Serves as backup to the primary effort coordinator

Required: Bachelor's degree.

Rquired: Three years of extensive administrative experience. May substitute required education degree with additional years of equivalent experience on a one to one year basis.

Preferred Experience: Grant and financial (budget) experience.
Requires the ability to use good interpersonal and problem-solving skills, work independently, and handle complex issues in a diverse research department. Proficiency in MS Excel and be able to master institutional accounting programs.
