We have a permanent employment opportunity for a Senior Administrative Assistant to join the Clinical Operations Team based at Stockley Park.

The duties include:

  • Organization of Global travel arrangements (Flights, Visas, transfers & accommodation)
  • Multiple complex diary management for designated line manager, Therapy Area Lead(s) and Therapy Area Team(s)
  • Support with the coordination of the teams' new hires' recruitment and onboarding
  • Management of Purchase Order creation, tracking and receipting through EBS (Oracle)
  • Processing of team expenses through Concur
  • Processing of Investigator Meetings through ZINC, ensuring details are in compliance with all participating countries' rules and regulations
  • Document management (use of Contract Management System)
  • To have a basic knowledge of the GILDA tracking system, but not essential
  • With other team Admins, update the teams SharePoint homepage on GNet
  • Attend team meetings, prepare Agenda and take Minutes when/if required
  • Assist with additional adhoc duties for own teams and Team Administrators when required
  • Attend monthly ClinOps Admin Meetings with Foster City / Seattle via VC
  • Cover for Team Administrators when out of office

    Knowledge, Experience and Skills:

  • Proven administration experience within a fast paced International organization supporting Senior Level Management
  • Previous experience working in a Pharma environment an advantage but not essential
  • Experience using electronic review systems such as ZINC
  • Experience with data management and MS Office (advanced Word, Excel, Visio & PowerPoint)
  • Forward thinking with excellent communication and high level organisational skills
  • This role requires high levels of accountability, integrity and the ability to be an excellent team player
  • Resilience and calmness under pressure will be a distinct advantage in this role
