Position Summary

The program coordinator provides operational support for the Associate Director for Community Outreach and Engagement of the Cancer Center. The AD for Community Outreach and Engagement's primary goal is to develop and lead the Cancer Center in facilitating Catchment area, community engaged research and programs, maintain an External Community Advisory Council as well as engage in R01/peer review funded program that addresses health disparities faced by communities in our Catchment Ares. To that end, the AD provides institutional leadership, direction, and accountability for COH's policies and programs to ensure they are effective in improving Catchment area and minority health.

The Administrative Program Coordinator provides administrative and programmatic support for several programs, that cross over community engagement and education, and clinical, translational, and basic science research. S/he assists the AD with all administrative and programmatic aspects including health equity research collaborative efforts, survivorship efforts, cooperative group efforts, and all community outreach and health equity training grants for the Cancer Center. The position has autonomy, collaborates with contributors across the organization (medical, administrative, research and support personnel), as well as collaborators from other institutions, and requires excellent organizational and communication skills with meticulous attention to detail, self-motivation and creativity. S/he collaborates with the AD in coordinating and facilitating the activities of these programs including collaboration of faculty within the Beckman Research Institute and the Medical Center as well as other departments including Community Benefits, Communications and Marketing and Government Relations.

Key Responsibilities include:
  • Assists the AD in the preparation and organization of meetings. Specifically, organize meetings between the AD and program/disease team leaders to address community engagement and education, health equity research/ trials/ expansion in the community and to incorporate Health Equity presentations at monthly meetings. Coordinate and arrange visits with community partners and researchers.
  • Schedule and help plan Conferences and training events, including coordination and arranging travel for outside speakers, and budget support. S/he will provide coordination of the COE and Minority Recruitment monthly governance meeting.
  • S/He will perform a variety of duties including: program administration, organizational analysis, budget preparation, facilities support, systems and personnel support. They will assist the AD in budget development by gathering, analyzing and reporting data; and monitor assigned budgets, report variances and provide projections and recommendations as requested. Assist AD in COE involved program, studies and research related activities.
  • Assist in communication and marketing for the program, serving as the point of contact for blogs, website, event calendar, media interest.
  • S/He will assist the AD in all program business related activities, including but not limited to travel coordination, time and attendance and other institutional reporting requirements.

Follows established City of Hope and department policies, procedures, objectives, performance improvement, attendance, safety, environmental, and infection control guidelines, including adherence to the workplace Code of Conduct and Compliance Plan. Practices a high level of integrity and honesty in maintaining confidentiality.

Performs other related duties as assigned or requested.

Basic education, experience and skills required for consideration:
  • Must have a Bachelor's Degree.
  • Equivalent and applicable experience may substitute for degree.
  • Must have at least 3 years of progressively responsible experience in a healthcare environment, the conduct of health science research or an equivalent combination of education and experience.

Preferred education experience and skills:
  • Understanding of medical terminology. MS Project or PM related software tools to support this portfolio.
  • Website and Access database
  • Possess a high level of administrative and secretarial skills and versatility in use of PC's and related office software.
  • Excellent organizational skills.
  • Displays tact/consideration in dealing with City of Hope patients and employees.
  • Foster/promotes a positive image and professional appearance.
  • Typing of 55 to 65 wpm.
  • Establish and maintain filing systems.
  • Interface with internal /external people at all levels.
  • Handle multiple tasks simultaneously.
  • Compose letters and memoranda.
  • Transcribe dictated materials.
  • Excellent verbal communication and telephone skills.
  • Excellent written communication skills.
  • MS Word, Excel, PowerPoint, Access, MS Project or PM related software tools.
