Position Title: Materials Management Associate

Summary

The primary purpose of the Materials Management Associate is to p rovide support for the operations of all sections of the Clinical and Translational Research Center laboratory. Responsible for the processing and analysis of all departmental transactions regarding research materials, equipment and documents.

Key Functions

1. Logistics Functions
  • Prepare and print daily shipping list to request boxes and coordinate quality control checks in CTRC Operations areas.
  • Coordinate the transfer of research related materials with the Materials Management Supervisor.
  • Drive regularly scheduled and unscheduled routes between buildings and deliver/pickup materials to/from areas as needed.
  • Collaborate with clinical/research/administrative/facilities customers and Materials Management leadership to identify concerns and effect resolutions.
  • Demonstrate the ability to provide rapid response to problems and the ability to utilize concentration skills in stressful situations.
  • Learn and maintain competency of software applications utilized to support both institutional and departmental operations.


2. Warehouse Functions
  • The physical loading, unloading and/or sorting of packages of varying sizes and weights by hand, including lifting, pushing, pulling, carrying, scanning, placing packages, as well as physical bending, twisting, kneeling and etc. in a safe and efficient manner
  • Receiving and transporting temperature sensitive packages directly to laboratory area once received from external carriers.
  • Store items in an orderly and accessible manner properly labeled with information required per area guidelines.
  • Unload, breakdown and sticker materials for institutional tracking and departmental tracking.
  • Pack and unpack items and equipment to be stocked on shelves in laboratory space.
  • Responsible for the safe operation of material handling equipment including forklifts and pallet jacks.


3. Administrative Functions
  • Answer office phone calls and communicate effectively and professionally.
  • Clerical activities that include Purchase Order matching, receipt processing, courier requests and package transfers.
  • Communicate via e-mail regarding package inquires and deliveries.
  • Place approved orders with vendors for staff requests as needed.
  • Inform appropriate staff and arrange coverage for necessary functions when absent.
  • Order supplies as needed.


4. Other Duties
  • Be punctual in arriving at all professional functions.
  • Generate documents on computer, using word processing, spreadsheet, and other software to produce professional appearance.
  • Communicate with appropriate individual(s) regarding upcoming deadlines, meetings, etc.
  • Understand and adhere to the policies and procedures related to conduct of clinical trials as delineated in the department training manual and presented at weekly training meetings.
  • Other duties as assigned


High school diploma or equivalent. Education preferred: Associate's or Bachelor's degree Five years of business or administrative experience to include two years in logistics, inventory or a related field. With preferred degree three years of business or administrative experience to include two years in logistics, inventory or a related field. With preferred Bachelor's degree, one year of experience in business, administrative, logistics, inventory, or a related field.
