Position Summary
The Business Manager provides administrative support management by independently managing and implementing financial and operational activities for each group or department. Manages and implements the financial, pre and post grant management and work closely with department administrators to ensure day-to-day operational activities are addressed.

The Business Manager is responsible for managing the assigned faculty portfolios, ensuring that objectives/deadlines are achieved, reviewing and monitoring contract and grant proposal applications and awards, reviewing and approving extramural expenditures, delegating work flow, managing extramural proposal activity with support staff and multiple Principal Investigators (PIs), financial management of extramural funding, interacting with other centralized offices (Office of Sponsored Research (OSR), Post-Award accounting, Office of Foundation Relations (OFR), Office of Scientific Affairs (OSA), Clinical Trials Support Services (CTSS), Clinical Finance, Research Finance (RF), the Office of Technology Licensing (OTL), Legal, Contract Management, Core Facilities) and other auxiliary offices, assisting with short-term and long-term financial forecasting with faculty, and meeting with faculty and department administrators to resolve budgetary and operational issues.

The Business Manager provides management for one broad area or multiple medium to small areas. Under direction of the Senior Business Director, manages functional activities in cooperation with Faculty within each Department(s). Additionally, the Business Manager interacts and coordinates with clinical and research managers across the institution.

Key Responsibilities include:
  • Develops, administers budgets, and reviews expenses. Authorizes expenditures within established limits. Tracks, monitors and reconciles budget activities and analyze variances.
  • Forecast faculty portfolio financial revenue, and expenses
  • Responsible for an accurate expense ledger, payroll reconciliation, cost transfers, invoice payments
  • Oversees charge capture processes and appropriate reconciliation of charge posting
  • Provides leadership and oversight of pre and post grant administration and relating research activity. Work directly with Departments PI to develop federal and non-federal grant proposals. Coordinate activities with OSR, OFA, OSA and other collaborators.
  • Manages spending on grants and discretionary funds so that all expenditures are appropriate and allowable within the grant and institutional policy.
  • Coordinates and assists in development and submission of typical proposals, work with central office on post award setup, update personnel effort on Grant Tracking System. Reconciles staff effort/salary charged to grants and ensure Effort Statement certification.
  • Identifies and acquires capital equipment and other materials necessary for success
  • Works with faculty in handling patents, intellectual properties and clinical trials as required.
  • Manages contracts within the department including identification of need, negotiations, execution, and ongoing monitoring of performance.
  • Partners with Administrative Analysts to develop and coordinate work in order to meet deadlines. Complex issues may be referred to the Sr. Business Director
  • Department specific job duties may include, but are not limited to, event coordination, providing specialized support to faculty and AMF.
  • Proactively analyzes metrics and data to present recommendations to improve business and research operations.
  • Data gathering, analysis, and validation
  • Collaborates with Senior Business Director to participate in short and long-term planning.
  • Performs other related duties as assigned or requested.


Qualifications
Basic education, experience and skills required for consideration:
  • Bachelor's degree in Business, finance or related field
  • 3-5 years of business management experience in an academic research or healthcare environment.
  • Demonstrated experience in budget development, grant management and proposal development.
  • Excellent interpersonal and organizational skills.
  • Excellent communication skills.
  • High level of integrity and honesty in maintaining confidentiality.

Preferred education, experience and skills for consideration:
  • Master's degree in health or business administration
  • Personnel management experience
