Position Title: Senior Coordinator, Research Data

Summary

The primary purpose of the Senior Coordinator, Research Data position is to provide administrative and patient care services for the coordination of research studies. Coordinates and gathers patient data for research studies. Participates in research activities including data collection and data analysis. Assists in the review of records before submission to pharmaceutical companies, federal agencies, internal groups, and other institutions.

Key Functions

1. Operations Support
  • Provide lab support to CTRC Laboratory during high volume hours.
  • Collaborates with schedulers to finalize daily patient lists and prepare for next day patient visits and weekend patient appointments.
  • Assists with research inventory; receiving, stocking, and pulling specimen collection kits as needed.
  • Seeks out new information and identifies opportunities to implement new knowledge into practice.
  • Participate in advanced administrative projects as requested


2. Research Scheduling Functions
  • Prepare and print daily collection sheets for all research patient appointments.
  • Prepare and print daily patient list that includes sample pickups, complex processing, delay shipments and high priority collections
  • Prepare and print daily shipping list to request boxes and coordinate quality control checks with Laboratory Supervisor
  • Match research kits to respective patient appointments daily
  • Coordinate research collection kits arrivals with inventory team
  • Maintain and update protocol reference materials electronically.
  • Review medical records to extract data points.
  • Communicate verbally and in writing, as needed or as requested by study investigator, with internal reviewers (e.g., Surveillance Committee) or external agencies (e.g., pharmaceutical sponsors and/or governmental study sponsors, such as National Cancer Institute or Food and Drug Administration).
  • Complete forms and comply with institutional, state, and/or federal regulations for study initiation, conduct, and termination.
  • Assist in coordinating and send outgoing material and correspondence to institutional, state, and/or federal agencies.
  • Prepare reports for the sponsoring agency, as specified by reporting requirements (e.g., monthly, semiannually, and annually for NCI studies).
  • Assist in the coordination and preparation of a monthly update for protocol review.


3. Research Operations Functions
  • Retrieve protocol information via computer and communicate directly with both internal and external healthcare providers.
    • Review medical records to extract data points.
    • Perform data entry into database and other external client programs.
    • Assist with data analysis.
    • Maintain accurate and up-to-date inventory database with all protocol-required data.


4. Quality Control Functions
  • Review and update laboratory databases on a regular basis to ensure accuracy.
  • Provide follow up reports to external and internal clients regarding any operational support items.
  • Supplement education as needed through use of reference materials, lectures, etc.
  • Be punctual in arriving at all professional functions.
  • Inform appropriate staff and arrange coverage for necessary functions when absent.
  • Assist in the training and mentoring of new operations staff in regard to department policies and team procedures for the conduct of clinical trials and the appropriate completion of data entry.


5. Other duties as assigned.

The performance for all expected outcomes is measured by observation by supervisor, reports from faculty and co-workers, the accuracy and timeliness of work produced, and the demonstrated ability to effectively work under stress. Education Required: High school diploma or equivalent.

Education Preferred: Bachelor's degree

Experience Required: Four years of related experience. With preferred degree, no experience required.
