The primary purpose of the Administrative Assistant position in Experimental Radiation Oncology at MD Anderson Cancer Center is to perform complex administrative tasks efficiently, create and maintain a good rapport with faculty, administrative and research personnel, as well as other institutional personnel.

The position requires responsible and decisive action relating to the day-to-day research office operations and provides secretarial and administrative support to the Chairman of the Department of Experimental Radiation Oncology and other staff or faculty as assigned. The Administrative Assistant is responsible for varied and extensive duties requiring considerable exercise of independent judgment and initiative. This position will demonstrate flexibility and ability to prioritize responsibilities, work requests, and a heavy paper flow as presented.

Key Job Functions

Administrative Support - Provide administrative support to the Chair, his/her trainees, and faculty members of his/her lab. Provide administrative support to other faculty members as assigned. Perform various tasks that include but are not limited to the following: time off management, calendar management, travel management, guest/visitor coordination, materials management (MTAs and shipments), reimbursements, written correspondence, CV updates and event/meeting coordination. Drafts and finalizes confidential correspondence for the department chair and/or department administrator.

Faculty Recruitment - Coordinate the recruitment process on behalf of the Department Chair and Administrator when the department initiates a new faculty recruitment search. Major tasks include but are not limited to: coordinating with Faculty Academic Affairs regarding advertising, reviewing and organizing all new applications submitted, posting all applications to SharePoint site and creating voting surveys on SharePoint for recruitment committee to review/access. Coordinates candidate visits with institutional leadership.

Financial - Manages and reconciles PRS funds for Chair and faculty members in his lab. Provides up-to-date balances as requested. Manages other departmental accounts, such as educational funds, as assigned.

Onboarding - Provide new administrative staff with comprehensive training and ongoing guidance in all office procedures. Assist with onboarding of new faculty.

: High school diploma or equivalent.

Preferred: Bachelor's Degree

: Four years of administrative/secretarial experience. With preferred degree, no experience required. Must pass pre-employment skills test as required and administered by Human Resources.

Preferred: Working knowledge of MS Word, MS Excel, MS PowerPoint, and Adobe Acrobat.
