Job Details

The Role:

Reporting to the Head, Total Rewards, you will be responsible for supporting our Payroll and Stock Administration functions.

This role will perform a wide range of activities associated with payroll and stock plan administration and including partnering with HR, Finance, Legal, Broker and Transfer Agent.

Here's What You'll Do:
  • Play a leadership in the management of payroll and stock administration for 800+ U.S. employees in a high growth environment
  • Oversea and evaluate outsourced payroll and stock admin services
    • Clearly define roles and responsibilities with vendors
    • Lead payroll efficiency & accuracy
    • Maintain and update documents and define procedures for all plan administration
  • Partner with technical accounting team to ensure all stock and payroll expense is accounted for correctly and reporting needs are managed by the vendor
  • Administer ESPP (US & International), including purchase of shares; facilitate Qualified Dispositions and Disqualified Dispositions; monitor ESPP limits
  • Assist with 10-Q, 10-K, Proxy and 10b5-1 trading plans
  • Utilize Workday reporting to build reports that support accruals
  • Train employees who are involved in payroll on tax regulations and best practices
  • Manage payroll and stock discrepancies quickly and efficiently
  • Ensure compliance with all federal and state tax laws
  • In partnership with vendor, oversee all processing and reporting related to equity awards, including all matters pertaining to the stock administration software with Fidelity.
  • Administer the stock compensation awards options/ restricted stock units and related aspects with the vendor, including ensuring appropriate payroll tax withholdings, completeness of the transactions of the awards (grants, cancellations, exercises)
  • Evaluate processes and look for process improvements opportunities to continue to support the growing organization, while maintaining sound internal controls
  • Strategize and plan for the expected growth in the US organization and internationally to ensure streamlined and controlled payroll and stock processes
  • Develop materials and employee communications; conduct employee trainings (Including annual tax notices, ensure vendor communications are clear and working)
  • Work with external auditors and Finance team for quarterly reviews, year-end audits, as well as ensuring tight internal controls are in place and procedures are followed to satisfy periodic review of compliance with Sarbanes-Oxley
  • Stay up-to-date with labor legislation and any changes in employee insurance and tax regulations
  • Oversee relevant systems are processing information correctly and digital integration are functioning (Workday Payroll, ADP Tax Filings, Fidelity Stock Management, Concur expense, John Hancock 401(k))


Here's What You'll bring to the Table:
  • Bachelor's Degree or equivalent required
  • Masters or MBA preferred
  • 10 plus years of experience in payroll processing and benefits
  • Expert level knowledge of payroll/HR systems
  • Must have experience with stock plan administration
  • Must have experience with Workday Payroll
  • Experience with ADP payroll and Fidelity Stock Administration a plus
  • Experience developing and presenting to executive level audience
  • High level of proficiency working with MS Office 365 Suite with strong Excel skills, experience developing complex analyses with VLookup, pivot tables and/or macros as needed
  • Strong leadership skills, with the ability to organize, prioritize, and work on multiple projects simultaneously
  • Exceptional communication skills, both written and verbal
  • CPP and/or SHRM certification preferred
  • Knowledge of multi-state payroll and tax processing; international payroll is a plus
