Grant Program Manager

Pre- & Post-Award, Grants Submissions, Planning and Tracking

Assists Manager, Clinical Protocol Administration with support independently planning, implementation, and management of all funding and grant initiatives. Prepares and develops grants, budgets and justifications. Ensures that administrative and financial support and other resources are available and in place. Ensures accuracy and compliance with sponsor regulations and institutional policy. Prepares and submits progress and other reports including no-cost extensions, carry- forward requests, budget transfers, effort reduction requests, etc. Monitors the progress of existing grants. Responsible for routing subcontract items. Communicates with faculty, institutional, federal, private, program and other officials in grant related matters relying on independent decision making. Coordinates special meetings and workshops for large multi-project grants. Acts as the liaison and departmental representative for large multi- disciplinary projects as needed. Represents the department at professional meetings within the institution, as well as externally. Provides oversight and maintains database and tracking system of all grants to monitor status of submitted, pending, awarded and funded grants. Maintains funding information on shared information drive for support staff to use as a resource for Other Support reports. Maintains faculty other support documents and biosketches for utilization during the grants submission process. Provides management in all aspects of large grant awards. This includes pre-award, post-award, progress reports, no-cost extensions, and close outs. Coordinates the internal competitions for developmental or career development funds. Serves as a resource to others who participate in the grant process. Coordinates with the Legal Department and Grants and Contracts the issuance of subcontracts, set up of company base centers for each subcontract and follow through on invoice payment. Trains support staff and new regulatory personnel, providing direction in research administration procedures.

Financial Coordination of Grants

Independently monitors rates of expenditures on grants and contracts and with the Director, Research Planning and Development, proactively advises the PIs and manages all necessary changes in salary support and other expenditures to ensure zero balances at study expiration. Works with the department leadership and faculty to ensure that grant funds are being expensed accurately and according to institutional and/or agency regulations. Ensures expired accounts are closed in a timely manner. Requires complex account review, analysis, projection and problem resolution and provides comprehensive reports for all aspects of all Department grant awards and reports appropriately. Reviews expenses against grants for accuracy, investigates and resolves errors and variances. Responsible for grant reconciliation and financial closeouts of grant awards. Responsible for completing the monthly Stat. Sampling reconciliation. Assists in reconciliation of all grant expenditures, ensuring expenditures are appropriate and within the guidelines set forth by the sponsor. Maintains up-to-date percent effort for all departmental personnel.

Research and Protocol Administration

Responsible for reporting the updates of the faculty grants' profiles at Departmental Faculty meetings and at the Divisional level. Process MTAs, patents, legal services agreements as requested by the faculty. Follows through to track RCTS and ClickGrants submissions for grant and contract submissions Assists in the lab space review and input FARs as required for faculty space needs. Process compliance protocols as requested by the faculty. Assist in the lab space review and input FARs as required for faculty space needs. Assists in maintaining effort profiles and payroll distribution in ECRT, including revisions for new projects, closing/terminating of old projects, change of individual's responsibilities and efforts. Works with the departmental leadership to prepare quarterly and yearly department effort cards with Chair, faculty, Director, Research Planning and Development and Department Administrator. Maintains records of salary waivers, personnel effort on sponsored projects or cost sharing as necessary. Assist with departmental and divisional events as assigned. Attends and actively participates in the Monthly Grant Administrator Group (GANG) meetings, as well as any other grant meetings as assigned. Assists in composing and submitting protocols for grant-related and sponsored projects. Reviews each project for annual continuing reviews. Works with finance team to review free balance reports to address outstanding issues. Participates in free balance meetings and in tracking projects through the pre-award and IRB process.

Education Required: Bachelor's degree.

Experience Required: Two years of grant management experience such as grant writing, grant submission and financial administration. May substitute required education degree with additional years of equivalent experience on a one to one year basis.
