Administrative Assistant opportunity on P4A - General Internal Medicine (GIM)

The P4A - General Internal Medicine unit is a 16-bed intermediate medical oncology unit providing care to adult and geriatric patients ranging in age from 18 - 95. Patients treated on P4A include those with colorectal, gastrointestinal, and lung cancer receiving complex chemotherapeutic and bio-immunotherapeutic regimens, management of treatment side effects and complications, and supportive care . Patients are typically admitted to the unit for a series of admissions at phased intervals. Side effects of the agents include significant GI complications, cardiac complications, renal failure, hypotension, and thrombocytopenia. Nursing interventions are focused on administration of oral, intravenous, chemotherapy, and other agents, and management of symptoms and side effects. Patient care also includes management of acute non-cancer related medical problems, cardiac monitoring, and transition to supportive care.

Ideal candidate must have a high school diploma or equivalent and four years of administrative/secretarial experience. With preferred degree, no experience required. Recent experience in management of calendars, travel and supporting multi staff.

Essential Job Functions Performs routine administrative and secretarial duties. Types abstracts and manuscripts according to specific grant formats. Maintains calendar for physician / supervisor. Takes, prepares and distributes meeting minutes. Makes travel arrangements and prepares expense reports. Maintains complex confidential patient and/or general office files. Arranges conferences according to department specifications, including booking rooms, catering and equipment. Spends the majority of time on one or more of the following duties: Compiles reports. Composes formal and informal correspondence. Creates and formats presentations. Coordinates human resources activities for the department, including processing confidential paperwork, maintaining records, performance appraisals and job information. May write position descriptions and works with financial and human resource divisions to resolve funding, job level or information issues. Interprets institutional policies for employees. Monitors and balances company center budget activity, requiring complex account review, tracking and analysis, cost projections, status reports and identification of potential problems. Ensures timely submission of required reports/documents for manuscripts and grants by tracking stages, alerting investigators and initiating response process. May coordinate faculty recruitment, training or multiple schedules of activities for groups of graduate students and visiting fellows. Supervises work distribution and processing for clerical area.

REQUIREMENTS

Education Required High school diploma or equivalent.

Education Preferred Bachelor's degree.

Experience Required Four years of administrative/secretarial experience. With preferred degree, no experience required.

Licensure/Certification Preferred Certified Professional Secretary.

Other Required Must pass pre-employment skills test as required and administered by Human Resources.
