Position Summary




The Administrative Program Coordinator will closely work with a group of competitive and dedicated cancer biologists and provide sufficient support for their scientific projects and other academic and educational activities. Our preferred candidates should have previous experience working in a research and academic institute s and organizations and have basic knowledge on biological research operations. Specifically, the Administrative Program Coordinator is responsible for supporting the daily research operations with the assigned faculty members and investigators ensuring that research protocols are achieved, reviewing and monitoring research contract and grant proposal applications and awards, pursuing/generatingand approving purchasing orders,extramural expenditures, delegating work flow, managing extramural proposal activity with support staff and multiple Principal Investigators (PIs), monitoring financial management of extramural funding. The Administrative Program Coordinator will also interact with other centralized offices (Safety, Office of Sponsored Research (OSR), Office of Foundation Relations (OFR), Clinical Trials Support Services (CTSS), Office of Technology Licensing (OTL), Legal, Contract Management, Immigration, core facilities, and other auxiliary offices) to assist and resolve research and laboratory operational issues. The range of duties is broad and requires an essential understanding of the scientific and research gorals, and mission of the City of Hope.

Key Responsibilities include:
  • Supports the Department Chair/Program Director with all administrative aspects of the Department programs functions including program metrics, policies & procedures, and reporting of these metrics at department meetings.
  • Assist Department Chair/Program Director with the organization and implementation of new program strategies.
  • Organizes program collaborative/strategy meetings and documents decisions.
  • Assists in the development of a marketing plan to promote programs to meet volume metrics
  • Oversees scheduling and conduct of program operational team and advisory committee meetings.
  • Prepares reports for program operational team and advisory committee meetings and assist the program director with the implementation of the annual program metrics.
  • Assists with submission of program recertification and annual progress reports.
  • Serves as intermediary for institutional issues and communications related to the program.
  • Assist the PI and other members of the research team to ensure active clinical trials are in line with the overall mission of the program and liaison with CTSS for all clinical research conducted under the program
  • Provides program director with administrative support for research being conducted under the program to include; liaison with OSR to coordinate grants submissions, manage grant budgets, set up sub contracts (when applicable), assist with preparation and submission of progress reports
  • Assists in budget development by gathering, analyzing and reporting data. Provides projections and recommendations as requested. Monitors all grant, contract and discretionary account budgets in accordance with the institutional grants and contracts policies. Identifies and reports variances.


Basic education, experience and skills required for consideration:
  • Bachelor's Degree; equivalent and applicable experience may substitute for degree.
  • Must have three (3) or more years of progressively responsible experience in a healthcare environment, the conduct of health science research or an equivalent combination of education and experience.
  • Possess a high level of administrative and secretarial skills and versatility in use of PC's and related office software.
  • Excellent organizational skills.
  • Experience with MS Word, Excel, PowerPoint, Access, MS Project or PM related software tools.
  • Displays tact/consideration in dealing with City of Hope patients and employees.
  • Foster/promotes a positive image and professional appearance.
  • Typing of 55 to 65 wpm.
  • Interface with internal /external people at all levels.
  • Handle multiple tasks simultaneously.
  • Compose letters and memoranda.
  • Transcribe dictated materials.
  • Excellent verbal communication and telephone skills.
  • Excellent written communication skills.
