Summary

The primary purpose of the Senior Secretary position is to perform complex secretarial duties with general guidelines for the Department of Social Work and Patient Services. Responsible for a variety of secretarial duties requiring independent judgment, initiative and the ability to make decisions relative to efficient office operation.

Key Functions

1. Provides primary coverage of the reception desk in The Department of Social Work (Main Building and Mays Clinic) to include greeting patients and answering telephones in a professional manner.

2. Obtain and verify patient information utilizing OneConnect to triage referrals, suicide pages, and code blue pages to the appropriate social work counselor to ensure patient needs are met.

3. Maintains reception areas including, but not limited to, updating all brochure racks, pamphlet holders, and disinfecting waiting areas.

4. Utilize OneConnect to distribute cash vouchers and housing contracts.

5. Responsible for a variety of administrative duties that occur on a daily, weekly or monthly basis. Duties include, but not limited to, assisting Administrative Assistants as needed with general administrative job functions to help support their social work units (CEU data entry, filing, business card ordering, and restocking Kid Kit packets). Maintaining departmental inventory, ordering supplies, and keeping storage facilities clutter free.

6. Responsible for providing administrative support for the annual Adult Memorial Service to include, but not limited to, data entry of patient information, sending invitations and ordering catering.

7. Kronos timekeeping for The Department of Social Work, which includes but is not limited to, pre-approval of all workforce members time and attendance, submission of Kronos corrections, WebSchedule entries and time adjustments with justification, WebSchedule reconciliation, and manual time and attendance into Kronos database for weekly approval from the Department Administrator or designee.

8. Provides coverage for support staff, specifically the Secretaries at the reception desks, ensuring secretarial tasks are completed as appropriate (see Position Description for Sr. Administrative Assistant, Administrative Assistant, Sr. Secretary and Secretary).

9. Other duties as assigned.

EDUCATION:

Required: High school diploma or equivalent.

EXPERIENCE:

Required: Two years experience performing responsible secretarial work. Must pass pre-employment skills a test as required and administered by Human Resources
