Position Summary

This role is crucial within the organization to assist in City of Hope's overall mission. City of Hope's shared resource core facilities provide services and access to specialized equipment and expertise in support of a wide spectrum of research activities and as capacity permits to the broader research community. These facilities provide quality service in a cost effective manner with a deep understanding of and commitment to the customer.

The Research Operations Analyst supports the administrative department of Shared Resources. The Research Operations Analyst reports directly to the Manager, Core Facilities Operations under the domain of Research Operations. The Research Operations Analyst will assist in facilitating the day to day operations of all shared resource core facilities. Special skills and expertise are applied in order to perform the financial and operational aspects of the position. Strong interpersonal skills are applied in interacting with shared resource directors and managers, as well as users, committees and administration.

The range of duties is broad and requires an understanding of shared resource core facilities and the mission and goals of the City of Hope.

Key Responsibilities include:

Financial Management
  • Manage recharge rate process which includes analysis of core billing and budget to determine the core rates
  • Manage all Shared Resources related capital equipment requests, processing and closeout.
  • Assist in generating reports for financial reporting along with Cancer Center Support Grant (CCSG) materials needed for the submission of the grant renewal.
  • Assist in developing revenue and expenditure goals for each shared resource with the input of Manager, Core Facilities Operation, Shared Resource Directors and leadership as required.
  • Monitor and evaluate progress monthly. Prepare status reports for shared resource directors, COH and shared resource leadership.
  • Monitoring transactions and funds for all Shared Resource programs.
  • Provide aide in all billing activities both internal and external for all shared resource including performing reconciliations each month of all transactions.

Core Administrative Support
  • Coordinate and assist in the areas of core reviews, new service development, purchasing, and expenditure control.
  • Interpret, monitor, and analyze information regarding operating policies and procedures.
  • Participate in short- and long-range planning and policy or program development by analyzing operational policies, resource utilization, etc. and developing recommendations for shared resource management
  • Process contracts within MediTract as needed, working with vendors, OSR, OTL, Contract Management, and Legal.
  • Assist in management of API/ Grant Tracking System submission and reporting personnel time and effort (e.g. TAR and quarterly effort reports)
  • Respond to PIs, departmental, and external office inquiries (which would require being knowledgeable of institutional and extramural funding policies and procedures e.g. progress reports, cost transfers, allowable costs, etc.)

Department Support
  • Assist in departmental budget development by gathering, analyzing and reporting data and providing projections and recommendations as requested.
  • Assist in department business activities, including but not limited to: budget preparation and monitoring, account management, purchasing, personnel, facilities, travel, and reporting required by the institution.

Other Duties
  • Perform other related duties as assigned or requested.
  • Coordinate personnel actions for department staff and/or faculty as requested including but not limited to visa requests and on boarding.
  • Assist and coordinate in areas of building and equipment safety and maintenance and other services.

Basic education, experience and skills required for consideration:
  • Must have a Bachelor's Degree
  • Must have at least 2 years of related experience in business administration and administrative analysis.
  • Must have demonstrated experience in budget development, grant management, space planning and personnel management.
  • Must be proficient in MS Office
  • Must have excellent oral and written communication skills.
  • Demonstrated knowledge of the principles of management and accounting and their use in a research/scientific/medical environment.
  • Demonstrated ability to work independently, set own priorities, recognize problems and follow up to ensure effective action is completed.
  • Ability to analyze complex administrative and financial data, create reports and craft effective solutions to both long- and short-term problems.

Preferred education, experience and skills:
  • Master's Degree
