Position Summary:Responsible for the scheduling of patients for ambulatory care appointments, including creation of a pre-authorization request, and request for authorization of services as applicable. Screens ordered tests and procedures for medical necessity and provides patient as applicable advance beneficiary notice. Provides patients with printed itinerary of future appointments and patient instructions as applicable.
Key Responsibilities include:- Provides services that are accurate, reliable, courteous and timely during a designated time period.
- Schedules patient appointments for clinic, infusion and/or diagnostic services as directed by the provider requests Demonstrates an in-depth understanding of the flow of the patient scheduling process within the paper and electronic environments. As applicable collaborates with other departments to schedule complex appointment types.
- Demonstrates accuracy and completeness in scheduling patient appointments. Escalates issues regarding scheduling in a timely manner to the scheduling supervisor as applicable.
- Screens ordered tests and communicate to physician and/or ABN RN those tests and/or diagnoses that do not meet criteria to be covered by Medicare. Provides patient with advance beneficiary notice as applicable.
- Creates pre-registration record and links pre-registration record to scheduled appointments. Assures that the correct pre-registration visit encounter type is linked to the scheduled appointment.
- Creates a request for authorization of service is applicable. Assures that all pertinent information in included in the authorization request so that the patient financial staff can complete the authorization request as needed.
- Provides patient with written itinerary for appointments that are scheduled at point of service. If applicable, also provides patient with patient instructions for scheduled diagnostic tests or procedures.
- Sends orders for diagnostic tests to appropriate department. Assures that documentation indicating the date of service and the visit number accompanies the orders for diagnostic testing.
- Receives and manages phone calls from patients and departments regarding patient appointments.
- Schedules appointments as needed via telephone and sends out printed itinerary and/or patient instructions.
- Reviews and updates future appointments as directed by physicians and or scheduling supervisor.
- Contacts patients as directed who fail to show for scheduled appointments. Re-schedule appointment as directed and indicate reason for cancellation
- Assists with the scheduling of post-discharge appointments.
- Checks in patients when they arrive for scheduled appointment to alert clinical staff of patient arrival.
- Assures use of patient identification when scheduling appointment in order to assure accuracy.
- Maintains
thorough knowledge of various sections within the department in order to
provide assistance and back-up coverage when necessary.
Basic education,
experience and skills required for consideration:
- High School or equivalent.
- Two
years related experience in health care setting.
- Medical terminology required.
- Ability to interact with patients and physicians.
- Basic knowledge of related computer system.
- Demonstrates general data entry abilities.
- Function with minimal supervision with high level of productivity.
