The Senior Administrative Assistant works with the Executive Director to create an efficient, organized workplace, and to provide general support to the team. The primary activities include, but are not limited to, the following:
- Provides general administrative support, as needed,
- Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments.
- Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problem solving skills.
- Assembles and analyzes confidential information, prepares reports/ presentations, agendas and correspondence of varying degrees of complexity.
- Develops reports, presentations, tables, graphs, correspondence and conducts light research using appropriate software.
- Coordinates special projects.
- Manages the supplier payment process, including purchase orders, purchase requisition reconciliation, invoice processing and follow-up of related issues.
- Manages Corporate credit cards (p-Card and meeting card) and processes related expense reports.
- Maintains the Executive Directors’ calendars and daily schedule, organizes meetings and makes travel arrangements.
- Interacts with senior level individuals both within and outside of the Company, locally and globally.
- Assists the Executive Director in tracking budgets, YTD reports, preparing accruals, as required. Opens purchase orders and ensures accuracy of invoices received and updates purchase order balances in a timely and accurate manner.
- Organizes departmental meetings and international visits as needed (including coordination of travel arrangement logistics).
- Maintains the database on absenteeism and vacation.
- Responsible to demonstrate full knowledge of and compliance with all Merck policies, including, but not limited to, the Merck Code of Conduct, “Our Values and Standards”.
Required:
- High School Diploma, a DEC in Office Technology or its equivalent would be an asset
- More than five years of relevant experience
- Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) is essential.
- Knowledge of SAP/COMET
- Language: Bilingual (French and English), written and oral
- Experience processing Corporate Credit Cards
- SAP experience: Expense Reports; Purchase Orders and Payment Requests; Vendor Add Forms
