The primary activities include and are not limited to the following: 
  • General Secretarial/Clerical duties 
  • Work requires the coordination and performance of multiple tasks while understanding the project principles and technical skills related to own work assignments 
  • Work priorities and activities are reviewed with little supervision 
  • Produces/completes various work assignments requiring advanced analytical ability, independent judgment, creativity and problem solving skills 
  • Supports the quarterly earnings process by scheduling all prep meetings and printing and assembling meeting materials, including the quarterly earnings binders for senior management 
  • Organizes and executes IR events internally and with investment community including working with internal and external contacts to schedule and organize attendees, transportation logistics, catering services, IT needs, generating reports and prep materials among other tasks 
  • Organizes logistics associated with Investor Relations team attending conferences and medical meetings, including securing registration, travel, hotels, meetings rooms, special event logistics, maintaining attendee lists, etc. 
  • Manages the generic Investor Relations email box and phone line, answering where appropriate or forwarding and tracking questions to other members of the IR team as needed 
  • Schedules complex, multi-leg and international travel 
  • Supports the use of Team Sites 
  • Communication Skills must be at a level to effectively interact with Merck executives and internal/external clients both on-site and remotely to maintain workflow 
  • May coordinate special projects within the division/area. 

Education Minimum Requirement:
  • Required: High School Diploma or equivalent
  • Preferred: Advanced education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)
Required Experience and Skills: 

  • Minimum of (5) years Administrative Assistant experience 
  • Advanced computer skills using (MS Outlook, Word, Excel, Power Point) and operation of other Merck/MSD internal systems 
  • Demonstrated experience scheduling and coordinating complex, multi-leg domestic and international travel 
  • Experience processing Visa/Passport Applications 
  • SAP experience processing Expense Reports, Purchase Orders, Payment Requests. Vendor Add Forms, as well as run reports within SAP 
  • Ability to handle and prioritize a large number of simultaneous assignments 
  • Event Planning/Coordination experience 
  • Extraordinary attention to detail 
  • Outstanding communication and people skills 
  • Budget/Finance Management experience 
  • High degree of professionalism and sound judgment
